Responsible for the administration, sales support, office management and travel co-ordination for Pacific Wine & Spirits in Western Canada.
Roles & Responsibilities:
Administration:
- Assistant to the President and the Vice President of Pacific Wine & Spirits for Western Canada
- All Supplier Contracts/Distribution Agreements, Price Lists, Letters of Authorization and Letters of Intent for Western Canada
- All Pacific Registrations – NAFTA Agreements, Trade & Consumer Shows, Trade Subscriptions and ACD Data
- Receipt and appropriate distribution of all domestic and international supplier, Import Vinters & Spirits Assn. (IVSA), and Liquor Board announcements (accolades, policy changes, etc)
- Canadian Food Inspection Agency Label approval guideline administration, including communication to supplier
- Pacific website and corporate presentation updates, including collaboration in future redesign
- Data entry and distribution of all depletion reports for key suppliers for Western Canada
- Manitoba, Yukon, NWT & Saskatchewan Liquor Board new listing applications
- Request for representation: communication to potential new suppliers
- Electronic File Management: Common Drive and Admin Drive
- Distribution of all meeting agendas
Sales Support
- Administration of locally sourced point of sale material (neck collars, on packs, advertising)
- Requests and management of all Supplier images (Bottle shots, logos, photos, bio’s)
- Co-ordinate Connect Logistics banner advertisements and sell sheets with PWS graphic designer
- Co-ordinate neck tag design, printing and coordination across Western Canada to markets and warehouses
- Editorial & media tracking of Pacific brands
- Updating of Alberta Price Catalogues (General and Specialty)
- Promotional (POS) Orders: collection of required items from AB Sales Team
- Request and tracking of samples/POS not traveling with orders
- Trade Event Support: registering for shows, invitations, RSVP’s, samples
- Special events: assisting in procurement of new high image events and execution to global
- Participation in Alberta Team Sales & Admin meetings
- Social Media content: Twitter & Facebook (in collaboration with AB and BC Teams)
- Consumer requests: phone or email requests, looking for product
- Corporate Event opportunities: contact for sales leads
- Gift baskets/ Media drops- coordination
General Office Management
- General day to day operation of Calgary office (couriers, cleaning contract, office supplies)
- Christmas party, corporate Christmas cards, birthdays, anniversaries, work anniversaries & gifting
Travel Co-ordinator
- Co-ordination of all winery visits (donation trips, consumer & trade)
- All Pacific Sales meetings & supplier itineraries, including room reservations
- Booking of all Executive and Sales Team member domestic and international travel
Skills:
- Excellent interpersonal, written, verbal communication skills.
- Independent, professional, organized and able to problem solve
- Detail oriented, with strong ability to multi-task
- Able to complete job duties in a timely manner in a team environment.
Required Skills:
- Preferred postsecondary diploma or equivalent work experience
- Excellent MS Office skills (Excel, PowerPoint, Word, etc.)
- Industry knowledge an asset
- Basic knowledge French and/or Spanish an asset.
