POSITION OVERVIEW
Reporting to Manager of Hospitality, the Events Coordinator is responsible for supporting all aspects of the winery’s onsite and offsite events program. The Events Coordinator will oversee the operations and execution of all events and review the success and areas of opportunities.
KEY RESPONSIBILITIES
The role of Events Leader is two-fold; Events Coordinator second and Creek Geek first. The Events Coordinator will lead onsite and offsite events starting April 1st to October 31st. At this junction in time, this role will be expected to lead on the retail floor from November 1st to March 31st, while supporting all onsite and offsite events.
Event Financials
· Negotiations with vendors to ensure the lowest cost and highest quality of services/goods.
· Conduct research to identify new event opportunities and potential revenue streams to grow the Creekside Estate Winery events program.
· Support the Hospitality Manager for all event purchasing needs including and not limited to client service needs, catering, event asset rentals and event permitting.
· Assist in the creation of event P&L as it pertains to the onsite and offsite events program.
Administrative
· Pre-event and post-event communication with client
· Conduct post-event debriefing meetings with the appropriate staff and management.
· Assist in developing and executing all the necessary event review assets as it pertains to event vendors and clientele.
Operations
· Lead all event execution including selected vendors and fellow Creekside staff on the day of and leading up to events.
· Trouble-shoot and organize issues relating the successful execution of all onsite and offsite events.
· Provide the Manager of Hospitality with post-event analysis including revenue/expense recaps and participant/team feedback.
Brand Marketing & Sales
· Represent and deliver service excellence that is in keeping with the Creekside Estate Winery Brand.
· Work closely with the Manager of Hospitality to effectively promote and target audiences to fulfill event attendance expectations.
· Contribute to the development of the Creekside Estate Winery events strategy.
· Update Facebook and Twitter with event descriptions and schedules postings for all upcoming events.
Team Management
· Work with the Hospitality Manager and Retail Coordinator to establish the necessary team schedules and task assignments to ensure the objectives of the Creekside Estate Winery events program.
· Supervise, direct and coordinate the activities of all fellow team members and vendors to ensure the successful execution of all events.
· Ensure all necessary team members and any guest speakers are receive event ‘Run-Sheets’ to ensure organized and memorable guests experience.
