Wedding Sales Coordinator - 1 Year Contract (Wine Jobs: Sales & Marketing)

Job Purpose

Responsible for the effective sale, coordination, administration and execution of social and wedding groups on property.

Duties and responsibilities

Hospitality Sales

  • Development, organization and delivery of events/weddings from proposal right up to delivery
  • Responsible for all duties associated with social and wedding events on property, including planning, execution of bridal consultations, preparation of event contracts, creation and distribution of function sheets, e-mails and phone conversations with customers
  • Wedding Day – on-site for set-up, welcoming of guests and execution
  • Site inspections for weddings and social groups
  • Assist the bride and groom with planning - Ensure all aspects of their wedding day are seamless
  • Maintain and keep all weddings on schedule throughout the course of the event
  • Make department communication a priority with assistance from voicemail, written
  • communication and scheduled meetings
  • Understand and effectively resolve client issues
  • General administration: invoicing, general accounting, printing, sending reports, maintaining
  • E-mails, voicemails and filing
  • Attend daily/weekly meetings on behalf of the department and ensure all relevant information is communicated and acted upon.
  • Provide proactive team leadership for onsite events
  • Manage supplier relationships - Prior to all events connect with hired vendors to ensure they are aware of onsite policies and procedures
  • Follow-up with clients after all events
  • Communicating, maintaining and developing client relationships

  • Foster a harmonious and productive workplace and assist in conflict resolution procedures if required
  • Create a culture of teamwork within the winery
  • Positively contribute to the achievement of the team objectives and goals
  • Contribute, through regular meetings to the constant evaluation, development and improvement of all procedures relating to events

Qualifications

  • A minimum of 3-5 years’ experience working in wedding /events and or sales position
  • A post-secondary diploma/degree in Hospitality or Event Management
  • Smart Serve

  • Fanatical attention to detail and exceptional organizational skills

  • Professional and mature demeanor
  • Proven ability to work in a team environment with self-motivation and independent work ethic with events management software
  • Extensive events, food and wine knowledge

  • Ability to work: Long Periods of time standing, Flexible and changing working hours, Daytime, Evening and Weekend Schedules, Outdoor work
