Office Administrator/Receptionist

 

 JOB DESCRIPTION

Job Summary:

Reception and front office duties plus general office administration in the Vancouver office for Charton Hobbs, Authentic Wine and Spirits Merchants and Escalade Wines and Spirits.

 

Essential Duties and Responsibilities:

  •  Shipping, receiving, preparing shipments and pallets (packaging small/large boxes/pallets, gift wrapping baskets, producing shipping documents online) as well as local deliveries;
  • Greet guests arriving at the office, answer general phone inquiries and redirecting phone calls;
  • Daily general tidying of reception area, kitchen, foyer, and boardrooms;
  • Daily sort and distribute incoming mail and process outgoing mail;
  • Distribute faxes from office network fax on a daily basis;
  • Coding of courier and miscellaneous general office invoices;
  • Organization and ordering of office supplies;
  • Maintain the effective operation and upkeep of the photocopier, printers, computers, and telephones;
  • Ordering and organization of kitchen supplies;
  • Arranging and ordering the delivery of lunches for management meetings;
  • Helping the team with small work requests;
  • Organizing/preparing boardrooms for supplier visits, tastings and meetings;
  • Booking boardrooms for office meetings, and maintain calendar of office meetings;
  • Security FOB maintenance;
  • Organizing janitorial/cleaning maintenance;
  • Assisting with warehouse duties;
  • Producing and maintaining shelf-talker distribution for marketing teams
  • In-house Inventory Management as required,
  • Use Microsoft Word, Outlook, PowerPoint, Excel, to produce correspondence, documents, maintain presentations, update calendars, expense records, spreadsheets and databases;
  • 9 am to 5 pm work hours;

Job Requirements:

  • Skills:  Excellent verbal communication and people skills.  Must be highly organized, and display excellent interpersonal skills and telephone manners.  Should have good PC skills (Windows: Word/Excel/Outlook).  Must be able to effectively prioritize daily work routines, multi task, and able to work independently with minimal supervision.

    Physical: Able to sit at and operate a computer for two-hour intervals a minimum of six hours per day. Must be physically fit and able to lift and carry 41lbs.

    A vehicle is a job requirement – kilometer allowance for business use provided.

    Other Preferred Job Qualifications:

  • Previous experience at this position;

  • Related wine or beverage alcohol knowledge/industry experience.
