Administrative Assistant (Wine Jobs: Management & Administration)

Customer Service

  • Answers telephone calls and emails, responding to customer (student), supplier and instructor queries courteously, promptly and efficiently.

Student Records

  • Maintains updated and accurate student records of academic achievements, inputting exam results for all IWEG courses into the student online accounts and IWEG’s “back office” system.

Post-office and Courier Services    

  • Responsible for executing all mailings, as they relate to IWEG business, including mailing to students all course materials and exam results, certificate awards.
  • Manages courier services (FedEx) to return completed student exams to WSET, FWS and delivery of course materials to satellite / partner organizations.

School Operations 

  •  Set-up for classes, including supplying instructors with curriculum materials, reimbursement forms, attendance lists, special materials and expense forms on the Instructor Site.
  •  Makes bank deposits, as directed by Executive Director, and communicates with Accountant accordingly, to specify student and other revenue.
  •  Provides support, (including staffing) for special events as directed by Executive Director.

Academic Curriculum

  • Becomes familiar with FWS and WSET curriculum and specifications of each award level (1 to 4) to answer queries and give direction to students and instructors.  Refers all other questions to Office Manager or Executive Director.
  • Stays informed and current with new WSET and FWS programme changes and directives

Social Media:

  •  As directed by Executive Director, executes content delivery on IWEG’s social media platforms (Facebook, Twitter).

WSET LEVEL 1 Curriculum: 

  •  Responsible for full WSET Level 1 programme (approximately four courses per year), with potential for additional responsibility for WSET Level 2, within three months.
  • Communicates with students and prospective students for Level 1.
  • Completes, all student registrations, accept payments, sends receipts, and keeps accurate financial records of students.
  • Communicates curriculum and program specifications to students and instructors via student website or Instructor site respectively.
  • Communicates with WSET for student registration, course material and exam ordering.
  • Distribute class instructions one week prior to Level 1 course.
  • Reviews wine needs as per WSET specifications and ensures Instructor has purchased wines within specifications.
  • Responsible for classroom set up and “on the day” operational requirements, including preparation of wine lists, attendance sheets and any other material classroom material required, as well ensuring delivery of completed exams to WSET.
  • ·Receives exam results, reviews with Executive Director, communicates with students and mails out all certificate awards.
  • Registers re-sit examinations with WSET as appropriate.

 

 

Part –Time: Initially 16 hours per week, $18 -$20 per hour, subject to performance review within 6 months.
