The Drinks List is a beverage alcohol agency that represents premium Canadian and import wineries, distilleries, breweries, and cideries. We currently have an opening for a permanent full-time Administration Manager based in Vancouver, BC.
The ideal candidate is self-motivated and has a strong desire to be successful. The ability to work on your own, once trained on the duties, is essential. The role involves liaising with sales representatives, management, suppliers, warehouses and customers. You are the hub of our information sharing system. Organization is one of your strongest skills and you enjoy helping others succeed.
You must be skilled with computer software like MS Outlook, MS Excel, MS Word, and have experience with desktop publishing programs. You have the ability to learn new software and systems quickly and adapt to regulations and requirements necessary to deal with external organizations both in the private and public sectors.
Most importantly, you have a positive attitude and a willingness to learn. Your focus is on the solution – not the problem.
Primary Duties and Responsibilities:
- Represent the company in a professional manner at all times
- Support managers and sales team whenever possible to generate sales revenue, while minimizing costs to ensure profitability
- Manage schedule to be productive.
- Ensure the smooth operation of domestic supplier orderdesks
- Reconcile inventory for each supplier monthly
- Track and provide managers and sales team with regular updates on domestic and import stock availability and product information including new released products and vintages
- Track and order inventory of domestic and import stock accordingly to avoid stock outs
- Track depletions of allocated domestic stock as required
- Monitor costs for logistics and split charges by supplier as needed for approval by your manager
- Track and liaise with domestic suppliers regarding accounts receivable issues
- Process registration applications and listing applications with the BCLDB
- Complete all other LDB forms and documents as needed
- Track purchase orders and stock transfers and manage all related issues like CFIA labeling rules and UPC/SCC barcodes
- Process price changes and LTO submissions
- Process special purchase orders as required
- Organize details for events such as handouts, product, set up, etc
- Attendance at some evening or weekend events may be required
- Create feature sheets, tech sheets, shelf talkers, and event cards
- Maintain office systems and equipment as required
- Other duties as assigned
Job Requirements and Attributes of the Successful Candidate
- Have and maintain good understanding of the wine industry and the beverage alcohol industry in general including various customer and channel regulations, market trends and competition
- WSET Level 1 or higher preferred
- Self-starter
- Computer hardware, software, and social media savvy
- Must have excellent knowledge of Excel and above average working knowledge of all Microsoft Office programs. Candidates with desktop publishing experience preferred.
