Job Title: Catering Events Manager
Reports to: Director Visitor Experience
Overview
As a member of the Food and Beverage Leadership Team and working closely with the Catering Chef, the Manager of Catering Events is responsible to ensure the successful planning and execution of Catering events, delivering outstanding guest experience, an amazing culture and work environment for team members, and delivering on financial profitability.
Core Duties and Responsibilities
Catering and Events Planning
• Responsible for Event Pre-planning and logistics, creating the internal Event Order for execution, from the contract provided from the Sales Manager.
• Responsible to ensure events are within food and labour budgets and delivering a successful P&L for every event. Completes a P&L review of all Catering events utilizing template provided.
• Works with the Catering Operations Supervisor to ensure seamless execution of the F&B service side of all special events and catering functions at the winery.
• Interacts effectively with guests/clients, sales and kitchen, vendors, competitors, local community, catering associations and other winery departments in order to monitor guest satisfaction.
• Work with the Catering Chef to develop menus to drive the guest experience along with revenue.
• Selects appropriate wines for the events and adds to event order for culinary team.
• Collects deposits & executes the billing process for functions and events.
• Manages Pre-orders gifts and assists with all guests needs (transportation, hotels, etc.).
• Responsible for receiving and inputting group deposits as well as reconciling event billing.
• Develop and plan layouts, functions and event flows and facility layout to meet the need of each unique guest. Executes exemplary customer service to drive customer satisfaction and loyalty by assisting the customer and monitoring their satisfaction before, during and after their program/event.
• Arranges and coordinates all event details including audio visual needs, group transportation, billing instructions and other special requirements of the group.
• Respond to questions about the event including, F&B, the function space, ancillary/ vendor services, and related billing processes.
• Executes the billing process post event.
• Monitor and assess service and satisfaction trends, evaluate and address issues and make improvements accordingly.
• Respond to guest inquiries and special requests and resolve issues and concerns in a timely, friendly and efficient manner, monitors the resolution process, creates mechanisms to channel issues to property leadership and/or other appropriate stakeholders.
Team & Leadership
• Host the Catering & Event Meeting setting clear direction for the entire Hospitality team to execute above our guests expectation.
• Executes the Talent Management and Performance Management Process for all direct reports.
• Leads the recruitment process for seasonal Catering/Events service team, working closely with the Catering Events Supervisor.
• Leads the Catering Events Supervisor to ensure seamless execution of the F&B service side of all special events and functions at the winery.
• Executes training and ensures understanding of the brand, product (wine and food) knowledge, menu review, event itinerary, and grooming standards. Plays a leadership role at New Hire Orientation for Seasonal staff, annually.
• Provides ongoing positive coaching, motivation, development, and guidance to all hospitality staff.
• Delegates event file to Catering Operations Supervisor for execution.
Minimum Requirements (Experience, Education, Qualifications, Skills, Abilities)
•5 years Fine Dining service Experience, in a 5 Diamond or Relais Chateaux standards environment.
•Minimum of 4 years progressive leadership experience in Catering events execution.
•Completed a Diploma of Hospitality or related from a recognized institution.
•Completion of WSET Level 2 and wine service experience.
•Effective leadership and strategic influencing skills.
•Demonstrated ability to work across functions, business units and geographies – a strong background in a matrix organization is beneficial.
•Effective business systems thinker and a good understanding of business process knowledge.
•Demonstrated ability to deal effectively with others in a diverse environment.
•Ability to prioritize and manage multiple projects at one time.
