Visitor Experience Coordinator

Schedule Requirements:  1 year Contract, May/June, 2016 – August 1, 2017

About the role: The Visitor Experience Coordinator is an ambassador for Mission Hill Family Estate, providing exceptional service for both internal and external visitors and guests. The position will act as the Front Desk Coordinator through the winter months, and lead the seasonal Guest Services Team through peak season (April to October).  The Guest Services Team is the first point of contact for our visitors and guests to book an experience at the winery.

 

Core Duties and Responsibilities: 

 

Visitor Experience

•                    Manage all winery tours in our CRM Software and communicate updates with appropriate internal departments

•                    Coordinate visitor accommodations for the Winery; coordinate all room bookings, including check-in and check-outs for Winery guests; Input the visit in calendars, and advise appropriate departments of guest itineraries

•                    Receive Guest/Customer feedback and funnel to appropriate department lead to follow up with the guest directly

•                    Assist Hospitality Department with onsite events

 

Management and Leadership

•                    Lead the recruitment, training, scheduling and management of Winery Concierges in the peak season from April to September 

•                    Assist in the preparation of itineraries for VIP and media visitors 

 

Front Desk Coordination/Administration

•                    Answer, screen and/or refer telephone calls

•                    Sort incoming mail, prepare outgoing mail, and communicate with couriers and deliveries

•                    Provide Mission Hill Team with professional administrative support

•                    Responsible for the input of all comment cards and guest surveys into CRM software

•                    Filing and other administrative duties as required.  

 

Experience, Education, Skills & Abilities

•                    2+ years of Guest Services and Administration; experience in a winery is preferred

•                    1 year of experience leading and managing a team

•                    Professional presentation in all channels; in person & phone

•                    Professional communication skills; written, presentations

•                    Advanced computer skills (MS Office), experience with Catering/Hotel management software (i.e. Caterease or Delphi) is an asset

•                    Ability to type 60-65 wpm and operate a switchboard

•                    Proven time management skills (prioritize, multi-task, and meet deadlines)

•                    Able to work well under pressure; flexible

•                    Attention to detail

•                    Upbeat can-do attitude 

•                    Wine knowledge; ISG or WSET training an asset
