As an Events, Office Administrative Coordinator you will be supporting our Events Sales Director , you will be responsible for working with the host team to maximize service revenues by accommodating guests, reservations + walk-ins in a strategic manner. As an ambassador of the Summerhill Pyramid Events Team, you are expected to greet all guests with enthusiasm, be well informed in all aspects of our offerings, and provide our guests a world class experience. The ideal candidate has a passion for hospitality and is eager to build their experience, as well as best practices in guest service, reservation systems and special events. There is a 3 month probation period. Full time during summer and part time hours during winter months.
RESPONSIBILITIES:
- Able to work in a high volume, fast paced environment with a positive attitude/demeanour
- Able to master multiple booking/communication platforms and mantain office duties
- Interact and coordinate with the Events Sales Director and team on accounts to ensure transparency throughout the booking + execution process
- Ensure timely, thorough and accurate presentation of detailed menu, banquet event orders and quotes
- Demonstrate, communicate and present venue and product features of all company facilities * Available to work nights and weekends as required
- Effectively exercises discretion and mantains confidentiality
- Professional and well dressed
- Candidate must meet Summerhill Pyramid Winery standards
OFFICE ADMINISTRATIVE COORDINATION DUTIES:
- Thorough knowledge of MS Office Suite, fast learner
- Tactful and Effective communicator, both oral and written
- Prapare documents, proposals, deposits, confirmations, invoicing, collections, archiving, payroll, supplies, inventories
- Assist the Events Sales Director with sales calls, visits. Travel arrangements, calendar, meetings
EVENTS COORDINATOR DUTIES:
- Ensures seamless transition from sales to coordination for guests
- Accurately blocks event space in Events Software, enters information, final guarantees, final charges, special menu requests and floor plans
- Ensures bar + wine orders and menu requirements are submitted on time
- Prepares and customizes final proposals and contracts and BEOs
REQUIREMENTS:
- 1- 3 years Host or Special Event experience in a similar fast paced environment
- Excellent communication skills
- Knowledge of all Summerhill Pyramid Vision
- Experience using reservation systems
- Outgoing, confident + positive attitude
- Strong attention to detail + time management skills
- Available days, evenings and weekends
