HRIS Coordinator (Wine Jobs: Management & Administration)

Key Responsiblities

PRC inbox:

  • Primary support for People Resource Centre inbox.  Monitor inbox for employee, manager and candidate inquiries and provide support and answers as they relate to P&C process and policies, as well as HR system (Workday) functionality. Escalate inquiries to HRIS or PSBP teams as appropriate to provide accurate information and exceptional customer service on behalf of the P&C functional area.

Designated system tasks:

  • Primary support to employee, manager and candidate for Workday functionality.  Execute on HR Coordinator system steps to keep processes moving quickly within no slowdowns or bottlenecks.  Contact and support internal individuals to complete day to day system steps and tasks.  Primary system support to the Wine Rack division, initiating all recruitment offer letter and new hire business processes in the system.

Onboarding system lead:

  • Run daily onboarding report and follow up on outstanding action items. Assist new hires with completing incomplete onboarding paperwork or troubleshooting login issues. Liaise with business leaders to complete system tasks related to onboarding so it is launched and completed before start date.
  • Complete all Onboarding Relaunch business processes; collect outstanding hire data from hire and/or leader and enter all missing personal data within system and payroll deadlines to ensure smooth onboarding experience for hire.

People & Culture administration & support:

  • Conducts all administrative functions within departmental standards and timelines while ensuring integrity and consistency of the data and maximizing the effective usage of the system.  Ensures compliance with company guidelines & policies by auditing system processes.  Maintains accurate employee records in HRIS and makes updates accordingly and as directed.  Ensures confidentiality of information and materials is maintained.
  • Assists with the development and implementation of job aids/SOPs/etc. as it relates to various HRIS functions and activities and in support of various programs as assigned.  Administers and coordinates departmental programs as required.

System Support & Testing:

  • Support all regular system maintenance testing requirements for upgrades and enhancements.
  • Support the execution of test cases against quality standard user acceptance and regression testing to maintain operational excellence. 
  • Remain current on HR system requirements by actively participating in the online system community. Participate as required in bi-annual Workday Release process.

Education, Experience and Qualifications

  • Post-secondary Degree
  • Graduate in Human Resources, or related field
  • Certified Human Resources Professional
  • Less than 1-year related experience
  • Proficient using Microsoft Excel
  • Experience with cloud-based HCM Software, preferred: Workday experience
