Diploma And Sponsorship manager (Wine Jobs: Management & Administration)

1. Acts as the Programme Manager, for the WSET Diploma Level 4 in Wines, both in-class and online formats (80% of job allocation):

• Provides customer support to enrolled students, as well as handling all student inquiries from current and future students.

• Provides operational planning and support for the educational component of the programme by: (i) creating the annual course schedules, for both the online and in-class courses; (ii) being the main point of contact for all Diploma instructors and liaising with the Education Director to ensure that instructors are fielded for all scheduled classes.

• Is the main Diploma contact with WSET and is an Exams Officer. Acts as the student registrar for IWEG’s Diploma programme, ensuring that all requirements are met for student information, course registration, exam orders, online study materials and access, student records and receipt of exam samples from the U.K.

2. Provides client support and manages the delivery of Sponsor’s contract and activation of agreed Sponsorship activities, namely Master-Classes at the school (20% of job allocation).

WSET Level 4 Diploma in Wines Programme (in-class and online)

• Coordinates all aspects of Course Administration relating to WSET Level 4, as follows:

o Counsels a prospective Diploma student in an informed and professional manner with a view to maintaining program stability and fostering enrolment growth. 

o Makes appropriate course recommendations to students based on their prior wine education background, and professional needs.

o Creates annual course schedules and critical path with key class, exams, key skills weekends and instructor training dates, to be deployed with students, Educational Director and instructors.

o Collaborates with Educational Director to ensure that qualified instructors are permitted to teach Diploma and that all Diploma classes are fielded with appropriate instructors

o Tracks and collects student payments, ensuring payments are made in accordance with IWEG policy and prior to beginning of classes.  Alerts Executive Director of non-payments, or refunds outside of IWEG’s policy.  

o Registers students (for three years) with London office of WSET prior to classes.

o Manages student expectations with regards to registration, course deferrals, financial penalties, key deadlines, and exam preparation materials.

o Ensures students receive online study materials and are registered for exams in a timely fashion to avoid late registration fees.

o Ensures students, Education Director and instructors are kept up-to-date with relevant WSET information regarding the programme as well as any session plans or course materials updates.

o Is the point person for all student inquiries related to classes and content delivery, employing a “triage” system to point inquiries to the appropriate instructor or Educational Director. 

o Is responsible for ensuring student awareness (and distribution of survey link as necessary) of “student feedback questionnaires” to maximize student participation; reviews results in conjunction with Education Director and makes recommendations for improvements as required. 

o Tracks student attendance to provide feedback to Educational Director for follow-up in cases of poor performance.

o Transcribes student exam results into IWEG’s student records and distributes achievement certificates to students. 

o Keeps accurate student results records in IWEG’s filing system (cloud-based file sharing).

o Is the point person for all Diploma Instructor inquiries, receiving all educational materials, class wine lists and additional class materials; disseminates these materials and other IWEG and WSET information to students as necessary (wine lists to Education Director for review).

o Resolves student issues according to IWEG policy.  Alternatively, prioritizes and refers unusual cases to the Education Director or Executive Director for resolution.

o Makes IWEG Diploma program policy recommendations to the Executive Director, as necessary, and provides input on tuition pricing and payment policies, including participating as required in any Programme ROI exercises.

o Leads and participates from time to time with the Executive Director and Education Director in Diploma Programme “Quality Control” assessments, to ensure that the student experience is kept to high standards. 

Sponsors

• Provides executional support for activation of all IWEG sponsorships, in conjunction with the ED,

a. Effectively manage the delivery of the Sponsor’s contract (e.g. Master Classes, competitions and scholarship awards)

b. Organize and administer all sponsorship delivery activities, which may include: coordinating the sourcing of wines for all sponsored Master Classes with the Sponsor; recommending educational topic and educators as required.

c. Deliver excellent client service to the Sponsors and ensure smooth running of Sponsor activities by utilizing effective project management and management techniques.

d. Managing event logistics during business hours for smooth course / event execution, including event set-up (tasting mats are prepared, tech sheets are available and printed etc.)  Please note: this does not include onsite representation and Master Class supervision for evening events outside of regular business hours. 

e. Make recommendations on new procedures and sponsorship optimization to the ED as necessary, including the integration of new partner organizations. 

f. In conjunction with Executive Director, participates in post-event “debrief/ROI” analysis to determine potential of repeat or long-term scheduling.

Requirements

  • Higher Education Qualifications desirable. WSET Level 4 Diploma in Wines (or Wines and Spirits) is mandatory.
  • Experience in customer relationship management , business administration and/or the Wine & Spirits industry highly desirable.
  • Knowledge of office-related computer programs – Excel, Word, PowerPoint.
  • Strong and positive working relationships with all relevant groups:  Members of the IWEG office team, instructors, partners (WSET, Agencies, etc.) and current and prospective students.
  • Strong communication and customer service skills (written and verbal).
  • Planning, project-management and prioritizing skills.
  • Critical thinking and problem-solving skills
  • Proven team player.
  • Detail orientation, ability to multi-task and be sensitive to deadlines.
