Purchasing and Administrative Assistant (Wine Jobs: Management & Administration)

From its beginnings in the early 90s as an Alberta wine agency, Galileo Wine & Spirits Ltd. has experienced growth throughout Western Canada with established sales in all four provinces.

With growth, our head office in Calgary, AB is looking for a knowledgeable purchasing and administrative assistant to help streamline office processes.

Roles & Responsibilities

  • Support the ordering process in Western Canada

o    Verify required information and draft  purchase orders (Qty, price, shipping details, etc.) before transferring finalized draft purchase order and supporting information to Galileo’s purchaser 

o Transmit paperwork to shipper and governmental agency

o Monitor documentation and shipment progress from the shipment point to the arrival in the market.  Provide status updates to team

o   Provide purchaser with pricing calculations for ordered product

o   Submit price changes on a monthly/weekly basis for all provinces as directed by the purchaser

o   Update various market product catalogs as directed by purchaser

  • Packaging and labeling validation according to Canadian Standards
  • Develop and maintain a database of product specifications
  • Manage process for receiving samples orders
  • Follow-up on any release issues between the Hillebrand Westlink warehouse and the BCLDB in British Columbia
  • Assist with the preparation of listing applications for liquor boards
  • Provide admin support to market managers as required
  • Ensure all the Liquor Boards form related to International Trade agreements are submitted on time (CETA, CUSMA, etc.)
  • Other administrative tasks as may be assigned from time to time

 Qualifications

  • Experience in the wine & spirits importing business particularly in the BC and Alberta markets
  • Degree or diploma in operations and logistic.   Demonstrated work experienced will be considered in the alternative
  • Strong communication skills (spoken and written)
  • Analytical and detail orientated
  • Fluent English.  Knowledge of French and/or Italian will be considered an asset
  • Customer service oriented
  • Advanced  Microsoft Office skills
  • Ability to multitask
  • As this is a remote position, access to a fully functional computer with the Microsoft Office suite and fast Internet access is essential

This is a contract remote position and hours may vary from week to week.
