The British Columbia Wine Institute (BCWI) is currently looking for a talented individual to join our team as Junior Technical Office Assistant and provide marketing and communication online technical and general office support to the team. This is a full-time office position based in Kelowna, British Columbia. In compliance with the government’s continued efforts to minimize the risk and spread of the COVID-19 virus, the successful candidate may be required to work from home.
Duties and Essential Job Functions
CRM system management. Monitor, update and create outgoing communications.
· SalesForce
o Act as the system administrator lead, providing support and troubleshooting on issues with the platform
o Maintain contact data records for the organization, overseeing data cleansing and update initiatives and looking for continuous improvement to increase the functionality and accuracy of the data held within it.
· Marketing Cloud
o Develop data extensions
o Create Cloud pages
o Create email body communications
o Develop Journeys
o Collect and report on analytics i.e., open rates, registrants, click thru rates etc.
o Learn new and improve current systems and applications within marketing cloud
Online programs support
· Survey Monkey
o Create surveys and reports
· WebinarJam
o Create webinars as needed
o Manage testing, link dissemination etc.
· Zoom
o Create zoom meetings, surveys etc. as required
· Flickr and SmugMug
o Upload and file photos and videos
· Animoto
o Create customized videos from photos, video clips and music
Wine BC Explorer app
· Manage winery logins
· Add new listings i.e., retail, restaurant, sponsors etc.
· Create features, lists, routes etc. as requested
· Web scraping to fill info gaps on listings
· Analytics
WineBC.com Website support
· Addition of tracking links as requested
· Assist with Google Analytics custom reports
Monitoring product inventories
· Wine inventory
· Swag inventory
· Maintaining storage room and locker
Shipping and Receiving
· Organize and/or re/packaging of all in/out going materials i.e., wine, POS, banners, supplies for events, etc.
· Handle incoming and outgoing mail
Additional Duties when required
Skills and Qualifications:
1 – 3 years’ work experience in a team environment. Post-secondary education highly regarded.
Notable hands-on experience of CRM systems, preferably SalesForce / Marketing Cloud with a strong technical understanding of all CRM functional areas
Good to excellent understanding of office procedures, including experience with Microsoft Office (Outlook, Word, Excel, PowerPoint, Microsoft Teams).
Experience with online platforms such as Google Analytics, Survey Monkey, WebinarJam, Flickr & SmugMug
Highly organized and efficient, able to adapt to change and manage multiple priority tasks with tight deadlines and limited supervision.
Energetic, people-oriented and a team contributor with a professional demeanor
Physically able to perform duties listed above, including lifting, or moving heavy objects as needed.
Travel at the expense of the BC Wine Institute may be required from time to time.
