Function summary

Under the direction of the General Manager – Western Canada, the Sales and office coordinator is to ensures that all administrative tasks necessary to the operation of the Mississauga office are completed. In addition, the position holder act as an executive assistant to the General Manager. 

Primary role and key responsibilities           

• Assist the General Manager and the Regional Manager with varied operational, accounting and administrative tasks;
• Provide administrative and clerical support: drafting of letters, emails and documents; collecting, analyzing and summarizing information; scanning and photocopying documents; collecting and distributing mail; preparing documentation, etc.;
• Responsible for various administrative tasks such as shipment, mail, invoicing, organize events, inventory, etc.
• Send out calls for tenders to all suppliers individually with their submission files in advance of upcoming deadlines;
• Request and track samples, (clear with customs broker). Take samples to the LCBO;
• Work on pricing for applications and confirm with suppliers;
• Responsible for the complete consignment process.
• Ensuring compliance to consignment process by sales team and customers.
• Assist with supplier visits for product tastings including general tidiness & office organization.
• Inventory counts and keeping sales team and accounting up to date.

Requirements

• College degree in a business-related field;
• Three (3) to five (5) years experience in a similar position, ideally in the field of wines and spirits or alcoholic beverages;
• English proficiency (spoken and written).  A second language is a definite asset (French, Italian or Spanish)
• Computer proficiency in Microsoft Office (Word, Excel, PowerPoint).
