The Assistant Estate Manager is responsible for delivering and ensuring that all our guests receive exceptional service and focusing on Special Event at the Estate.

Key Responsibilities

  • Supervising immediate line staff to accomplish goals in a lead by example style.
  • Event execution –public, corporate and internal groups.
  • Coverage and execution of all lunches, meetings, dinner groups, and receptions.
  • Inform team members of announcements, policies, procedures, product updates and event expectations.
  • Work with a team to accomplish event specific goals and uphold the highest standard of service and professionalism at all times.
  • Work with Venders to ensure all rental items are ordered as needed and utilizing small wares between both properties to reduce expenditures on rentals.
  • Maintain inventory of event related items, aprons, cocktail napkins, non-alcoholic beverages, table cloths, etc.
  • Work with sales team and client, or public to personalize each experience.
  • Act as main point of contact for events, from taking deposit, to confirming details such as final numbers, outsourcing third party suppliers, to execution and follow up.
  • Work well with culinary staff, and communicate necessary information such as dietary needs, timing of event, etc.
  • Complete invoicing on the day of events and send receipts to client.
  • Reach out to clients for feedback on executed events.
  • Ensure company policies and procedures are adhered to. Support all hospitality/guest focused initiatives.
  • Assist retail team when coverage is necessary and work well with all departments.
  • Communicate, assign or solve problems in a timely manner based on degree of importance.
  • Utilize organizational documents and support organizational systems to provide consistency in daily business operations. – ie. Floor plans, transfer sheets, etc.
  • Act as MOD during retail days and fulfil retail duties.
  • Work with Estate Manager to schedule staffing appropriately for events to maximize efficiency.
  • Assist in hiring, training, and coaching of front-line staff.
  • Assist with events at Jackson Triggs as required.

Job Requirements

  • Post-secondary Education
  • Minimum 2-3 years event service experience
  • Minimum 2-3 years retail experience in a supervisory role
  • Proficient skills in Microsoft Word and Excel
  • Proven ability to multi task
  • Proven experience building business relationships
  • Mature attitude
  • Attention to detail
  • Strong problem solving & organizational skills
  • Effective oral and written communication skills
  • Sound knowledge of wines and ability to speak in public with confidence
  • Flexible schedule and ability to work evenings and weekends on a regular basis
