Events Coordinator

Tour + Event Scheduling/Coordination
- Guest relations point of contact for all tour and event inquiries
- Booking all tours, experiences, seminars, meeting room bookings and events (onsite and offsite) for wine, beer and cider
- Using Outlook calendar to book all events/tours into team calendars
- Arranging all necessary paperwork, staffing and communications around events, including but not limited to:
- Special Occasion Permits (and accompanying letters to municipal departments)
- Certificates of insurance
- Tent permits
- Event décor, set up and execution as required
Wine Club + Growler Club
Managing and maintaining excellent member relations and communications via scheduled eblasts and being the primary point of contact for all member inquiries
Digital Marketing + Web Content
-Managing, updating and creating content for nine social media channels
- Three accounts (twitter, facebook and Instagram) for each: winery, brewery and distillery
- Using Hootsuite to schedule content
- Developing and producing monthly Newsletters
- Seminar, experience and event sign ups
- Creating event sign up pages and online registration through Constant Contact
- Updating web content and online store
Donations
- With direction from General Manager, fields all donation and sponsorship requests
Representative for industry associations
- Attending regular association meetings to represent the winery and relay details back to GM and retail team.
Skills required:
- Highly organized with excellent time management and communication skills
- Ability to work on multiple projects simultaneously
- Strong customer service skills
- Valid driver’s license and access to a vehicle
- Work well independently and as part of a team, as well as liaising closely with other departments
- Computer savvy with knowledge in Microsoft Outlook, Word and Excel and social media management, also experience with online booking systems, wordpress and graphic design are an asset
