Job Description:
We are currently recruiting for a detail orientated, organized individual who is self-motivated and has a strong ability to build trusting relationships to fill the position of Office Administrator based out of our Oliver Production Facility located in Oliver, BC. The Role:
The role of Office Administrator is responsible for the smooth and efficient management of the administrative tasks within the Oliver Production Facility and all its general systems and functions. The position will be relied upon to provide key administrative support to the General Manager of Operations and its management team. They will be integral in our organizational success and will be trusted to play a key role in communicating and demonstrating our company’s core values to all that visit and work within our work space.
- Performs general administrative duties; answering and directing phone calls, processing correspondence, distributing mail, greeting visitors, coordination of travel and expenses, and ensuring the office is supplied and generally organized for visitors and guests.
- Assist with the onboarding of New and Returning employees
- Provide a general administrative support to General Manager, facility managers and supervisors for various day to day issues as they arise.
- Meeting and Event Coordination including attendance at specified meetings in and outside of the Production Facility.
- Support with the preparation of reports, correspondence and memos, as well as the creation of forms and templates.
- Assistance with data entry and filing.
- Coordinating promo orders for customers through internal computer programs
- Creating lab invoices and receiving payments.
- Creation and Distribution of Minutes for key facility and business meetings.
- Distribution and Administration of Employee Service Awards.
- Creating shipping labels and exporting shipments.
- Other duties as required
Job Requirements:
- Office Administration Diploma or Equivalent Education / Training
- Minimum 3 years’ experience in an Administrative / Office Management position
- 2+ Years of Guest Service Experience
- High level of computer literacy. (Ability to Learn Complex Internal Software Programs)
- Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook)
- Ability to clearly communicate with internal and external parties both verbally and in writing
- Ability to work with minimum supervision
- Strong organizational skills
- Ability to multi-task and prioritize
- Wine Knowledge an Asset
- Ability to type 50-60 wpm
- Friendly and professional personality that strives on creating a collaborative working environment
