As the Accounting & Administration Assistant, you play a vital role in Hillside’s successful operations. This part-time position will assist the Manager of Finance in all accounting functions including: AP, AR, invoicing, month-end and year-end close, as well as oversee the office and admin functions. Inventory control responsibilities and A/R collections for winery accounts are also required.
Specific Duties & Responsibilities
Accounting
Accounts Receivable
- prepare and enter all sales invoices (form 60s for winery direct sales)
- enter agents' sales (created in SalesLitre) into Windward
- recieve and post payments
- follow up and collect on overdue accounts
- balance and prepare daily cash outs
- reconcile cash clearing daily and maintain merchant detail spreadsheet
- maintain control of and reconcile petty cash
- prepare invoices for both Bistro and Wineshop recording food and wine sold
Accounts Payable
- prepare and enter accounts payable
- sort A/P, match cheques, email credit card payments
Reporting
- prepare and submit BCLDB batch monthly
- Month-end sales reporting: sales & samples, actuals to forecast, sales by channel
Banking
- prepare bank deposits
- monthly bank reconciliations
- credit card reconciliation and management of Visa reward points
Inventory
- Assist with wineshop and warehouse inventory reconciliation
- assist sales team on a weekly basis by checking inventory levels at various locations with sales reps
- stock control and posting all transfers, liaising with Container World
- Create wine transfers and corresponding journal entries between departments
Administrative
General Office
- Answer general phone line
- mail pick up and post
- Monitor office supply stock levels and order as needed
- prepare agenda and record minutes at weekly management meetings
- assist winemaker with annual harvest letters/invoices for contract growers
- manage employee benefits administration, sign-ups, etc.
- daily filing plus year-end file management
- Liaise with various service providers, ie. garbage, water delivery, linen service, janitorial and amend schedules as required
- assist the President with PowerPoint presentations for shareholder meetings
Shipping
- Coordinate shipments of pallets of wine to sales agents
- assist DTC Manager when required with shipments to customers
- assist with delivery of local wine orders when required
Qualifications
- Minimum 3 years accounting and administrative experience
- Winery experience in a similar role is preferred
- Excellent knowledge of Excel and Microsoft Office are essential.
- Hillside Winery uses Windward Accounting software, but experience with Quickbooks, Sage or any other accounting software will allow for an easy transition to learning Windward.
