Okanagan Crush Pad (OCP) in Summerland, BC is seeking an experienced Customer Service Sales Representative and Administrative Assistant to join our team. OCP is a 40,000 case facility that is home to Haywire, Narrative and Free Form wines. The winery is committed to minimal intervention winemaking, using certified organic grapes. OCP prides itself on its innovations and leadership position within the BC wine industry.
We are looking for a dynamic individual that has great sense of customer service and is a critical thinker and problem solver that works well on their own and within a team environment.
General Office
- Manage general inbound calls and emails, dealing with customer enquiries
- Mail pick up and post
- Monitor office supply stock levels and order as needed
- Maintain general tidiness of office space
- Helping out team members, taking on additional tasks as needed
Order Desk
- Monitor and respond to all sales inquiries emails and calls
- Work with our internal sales team to enter and fulfill all incoming orders in a timely manner
- Process payments for all orders and maintain accounts in good standing
- Send out order confirmations
- Ensure timely delivery of orders to accounts from most cost-effective warehouse location
- Assist with DTC Manager on consumer sales
- Ensure all accounts payment methods are up to date
- Credit applications/new account set up
- Set up new customers in Ollie and maintain updated account information
- Communicate end of day sales summary to the team
Accounting
- Preparing and entering all sales invoices (DOC 60s for winery direct sales)
- Receive and post payments in multiple software platforms
- Follow up and collect on overdue accounts
- Maintain merchant account spreadsheet
- Prepare and enter accounts payable
Reporting & Inventory
- Assist with monthly tasting room and warehouse inventory reconciliation
- Maintain adequate stock levels in all delivery warehouse locations
- Review inventory weekly and implement stock transfer between primary warehouse and distribution/delivery warehouses
- Manage keg returns from accounts and delivery to winery
- Weekly distillery report to LDB
- Monthly winery report to LDB
- Sales team forecast report updated and communicated monthly
- Month-end sales reporting: sales & samples, actuals to forecast, sales by channel
Shipping
- Organizing domestic and international shipping
- Manage shipping & logistics-related inquiries from customers and customs brokers
- Assist with delivery of local orders as required
Requirements:
- Proficient in Microsoft Office
- Must have customer service experience and professional phone and email etiquette
- Efficient time management skills
- Excellent organizational skills
- Ability to prioritize workload
- QuickBooks Online experience considered an asset
- Ollie experience considered an asset
- Strong multi-tasker and good time management skills
- Great attention to detail
- Some experience with online shipping preferred
- An aptitude for numbers and data accuracy
