Customer Success Specialist (Wine Jobs: Management & Administration)

The Drinks List is a beverage alcohol agency that represents premium Canadian and Import wineries, distilleries, breweries, and cideries.  We currently have an opening for a Customer Success Specialist. This role is primary customer service but also includes some marketing support tasks.  This role has flexible hours and is a remote/work from home position. Ideally the candidate will be based in the Vancouver area, to facilitate training and support.

As our Customer Success Specialist, you are self-motivated and have a strong desire to be successful.  The ability to work on your own, once trained in the duties, is essential.  The role involves liaising with sales representatives, management, suppliers, and customers.  You will manage all aspects of our order desk activities and be the lead on solving all customer service issues. An interest in wine, spirits, beer, and cider is helpful, but not mandatory.  You will help support our team by creating sell sheets and other sales tools using our templates and help implement marketing plans and activities that add value and increase sales.  You will be a key member of our administration team, working on various tasks to support our sales efforts including covering some duties when the Administration Manager is on vacation.  Organization is one of your strongest skills and you enjoy helping others succeed.

You must be skilled with computer software like MS Outlook, MS Excel, MS Word, and experience with desktop publishing and design programs including Canva is an asset.  You can learn new software and systems quickly and adapt to regulations and requirements necessary to deal with external organizations both in the private and public sectors.  Ideally, you are comfortable working with the major social media platforms and willing to learn new ones.  You understand what is required to make our social media posts interesting, relevant, and professional. You should be comfortable using technology to keep yourself organized and support your success.

Primary Duties and Responsibilities:

• Represent the company in a professional manner at all times

• Support managers and sales team whenever possible to generate sales and revenue, while minimizing costs to ensure profitability

• the Ensure the smooth operation of domestic supplier orderdesks

• Track and liaise with domestic suppliers regarding accounts receivable issues

• Track and order inventory of domestic stock

• Track depletions of allocated BC domestic stock as required

• Manage schedule to be productive.

• Create feature sheets, tech sheets, shelf talkers, and event cards

• Help create other marketing tools for sales staff as requested

• Help create marketing plans to support listing applications with the BCLDB

• Help create our email campaigns

• Help organize details for events such as handouts, product, set up, etc

• Attendance at some evening or weekend events is possible – would be optional

• Help manage our Social Media posts 

• Maintain office systems and equipment as required

• When Office and Admin Manager is away cover the duties below:

  • Understand how to track purchase orders and stock transfers and manage all related issues like CFIA labeling rules and UPC/SCC barcodes
  • Track and order inventory of domestic and import stock accordingly to avoid stock outs in Western Canada.
  • Other duties as assigned

Job Requirements and Attributes of the Successful Candidate

• Previous experience in order processing, customer service, or a related field.

• Strong attention to detail and accuracy.

• Ability to work independently with minimal supervision.

• Proficient in using order management systems, email, and other business software.

• Reliable internet connection and a quiet, distraction-free work environment at home.

• Have and maintain good understanding of the wine industry and the beverage alcohol industry in general including various customer and channel regulations, market trends and competition

• WSET Level 2 or higher preferred, but not mandatory

• Self-starter

• Computer hardware, software, and social media savvy

• Must have excellent knowledge of Excel and above average working knowledge of all Microsoft Office programs.  Candidates with desktop publishing experience preferred.

• Ability to be proactive

• Have sound judgment and problem solving skills
