Sales Coordinator (Wine Jobs: Sales & Marketing)

Position Summary

The Sales Coordinator will assist in driving the growth of The Foreign Affair Winery across all channels. This position is responsible for providing support for coordination and management of business operational activities with exceptional customer service in a consistent, timely and professional manner. This individual will report to the Director Brand Home & DTC, and will be responsible for ensuring accurate order processing and timely resolution of customer issues across eCommerce, Licensees, Liquor Boards and Exports. They will also manage monthly inventory, reporting and Accounts Receivable. This individual will act as a main point of contact for customer inquiries regarding private tasting and wine order status.  This individual will assist the Director Brand Home & DTC in the daily operations of the winery.

Key Responsibilities

Sales

  • Processing and batching eCommerce and licensee orders
  • Processing invoices and bill of lading paperwork for Liquor Board and Export orders
  • Coordinate Liquor Board and Export orders – notifying warehouse of pickups, inventory, etc
  • Assist the Sales & Marketing Coordinator with wine offer sales tracking
  • Posting licensee payments and file related paperwork
  • Oversee bimonthly Wine Club processing and post-shipment customer service and processes
  • Assist with development of new wine club collateral and letters
  • Resolve returned shipments, including follow-up with customer and system updates
  • Maintain Wine Club pick up program, ensuring customers are contacted when orders are ready for pick up
  • Assist with development and implementation of new wine club programming

Customer Service

  • Respond promptly to all telephone and email inquiries, requests and complaints from current and perspective customers
  • Oversee general email inboxes, forwarding messages to appropriate persons and responding as required
  • Act as key point of contact for all group tasting reservations, book tasting appointments, and coordinate follow-up as needed
  • Maintain CRM database, ensuring all member records are up-to-date, updating as needed

Admin

  • Completing a monthly bottled wine inventory and reconciling against sales
  • Compiling monthly sales reports by channel for regulatory reporting and the finance team
  • Running a monthly Accounts Receivable report and following up with outstanding payments
  • Monitoring supplies for re-order – packaging for order processing, kitchen supplies, thermal paper, tasting notes etc.  

Applicant requirements include:

  • Previous wine industry experience in administration and customer service
  • Strong organization skills with the ability to complete tasks thoroughly and accurately
  • Ability to work under pressure and meet tight deadlines in a fast-paced environment 
  • Previous experience with e-commerce platforms such as Shopify and Shipstation
