Administrative and Fulfillment Coordinator
Megalomaniac Wines is seeking an Administrative and Fulfillment Coordinator to work at its winery facility in Vineland, Ontario.
Responsibilities
This individual reports to the General Manager, playing an important role in the winery’s successful operations. This position is responsible for administrative support, inventory oversight and control, and the order desk function.
Administration
· Fields all customer and corporate calls, answering phone in a professional manner; interacts with customers on basic queries; and redeploys calls as appropriate.
· Oversees phone system configuration and company voicemail setup.
· Monitors and responds to main winery email box and replies or redeploys as appropriate.
· Controls, tracks and reports on wine inventory at multiple locations.
· Efficiently coordinates movement of wine and inventory shipments across multiple locations.
· Works with General Manager to control expenses for warehousing and freight.
· Manages reporting to regulatory bodies.
· Record keeping and management of the file system.
· Maintains business records such as equipment, insurance and supplier contracts.
· Manages donation inquiries.
· General office duties, including maintaining office supplies, maintaining staff areas, mail distribution.
· Oversees basic office functionality and administrative details and provides administrative support to the management team.
Order Desk and Fulfillment
· Order intake and coordination for online sales and wine club; liaise with packing team as required.
· Acts as the main contact for licensee and consumer phone and online order inquiries, providing customer service and resolving any issues.
· With direction from the Sales Director, order intake and shipment coordination for licensees, LCBO, export and marketplaces.
· Preparation of waybills and bills of lading.
· Generates invoices as required for export, wholesale, licensee and marketplace sales.
· Liaises with courier suppliers for direct to consumer deliveries.
· Coordinates deliveries by winery’s delivery vehicle.
· Works with General Manager to control expenses for all shipping.
· Manages presence on wine marketplaces and liaises with marketplace partners.
· Updates and oversees customer databases.
Qualifications and Skills:
· Minimum 3-years’ experience in a similar role; winery or Ontario alcohol industry experience is preferred.
· Post-secondary education in a relevant field.
· Proficient in Microsoft Office.
· Detail oriented and organized with the ability to multi-task effectively
· Able to coordinate several projects to a successful completion with little or no supervision.
· Good communicator, both verbal and written.
· Positive attitude with a demonstrated ability to work cooperatively.
· Responds promptly to shifts in direction, priorities and schedules.
· Thinks strategically and is proactive.
· POS and accounting system knowledge is an asset.
